The Santa Clara County Veteran Service’s Office is excited to work with all groups supporting veterans in Santa Clara County. We can’t wait to work with you at the 2024 Stand Down, whether we’ve been partners for years or this is the first time we’ll be helping veterans together.
All vendors and community organizations must complete the vendor registration form by September 15, 2024. After completing the registration form, your request to be at the Stand Down will be reviewed by the VSO. Registering and being approved does not guarantee a specific number of tables at the Stand Down. VSO staff will be in communication with your organization to finalize our available tables. Any vendor or community organization registering is expected to provide services at the Stand Down on all three days.
Vendors may not sell services or items at the standdown. During the event, all services must be free of charge to veterans and their dependents. If you have any questions about whether your organization qualifies to be at the Stand Down, please contact the VSO at [email protected].
The fairgrounds will provide all tables with three chairs each during the event. Tables will have access to power and the internet. We cannot offer printer services to veterans. All vendor staff will have access to the hot breakfast and lunch provided to veterans, as well as coffee, tea, and water.
Vendor Meetings: The VSO will hold meetings with vendors to provide updates and an opportunity to coordinate and collaborate between groups. Details on the meeting times and locations will be provided to the contact information provided to the VSO via your registration form.
Vendor Setup/Breakdown times: The Santa Clara Fairgrounds will be open to vendors on Monday, October 1, 2024, to set up tables and booths. There will be pull-up ramps for vendors to unload large items at both the Pavilion and Fiesta Hall.
Breakdown will begin once participants leave the halls at 4 pm on Friday, October 4, 2024. Until all participants have left, no vehicles will be allowed to access the ramps. On Saturday, October 5th, the halls will be open by 7 am for vendors to complete the breakdown. We aim to conclude the breakdown at noon on Saturday.
If you have any specific needs, please contact the VSO at (408) 918-4980 or by email at [email protected]. Include your organization, needs, and details so we can coordinate support.
Utilities: All vendors can access power at tables and Fairgrounds Wi-Fi. Access to water or high-voltage power can be provided on request. Please include this request in the Vendor registration form or contact the VSO at (408) 918-4980 or by email at [email protected] to coordinate access.
Security: Security will be present from the morning of October 2 through the end of breakdown on Friday October 4.
